Vietnam Consular legalization of Taiwan documents – Procedure & Service

In case you are going to use your Taiwan documents in Vietnam, for business or personal reasons like getting married to a Vietnamese in Vietnam or applying for Vietnam work permit, you will be asked to have your document legalized before they can be accepted. 1. What is Vietnam consular legalization of Taiwan documents

Vietnam legalization of Taiwan documents or papers is a process in which the Vietnam’s competent authority certifies stamps, signatures and titles of the officials of Taiwan’s Ministry of Foreign Affairs on documents, papers which were issued in Taiwan, so that the Taiwan documents, papers can be legally recognized in Vietnam.

For the most convenience, the full process of consular legalization of Taiwan documents for use in Vietnam should be carried out in Taiwan as in the procedure detailed below.

2. How to legalize Taiwan Documents for use in Vietnam

The full process of consular legalizing Taiwan documents for Vietnam will be carried out in 3 steps as follows:

👉Step 1. Notarize at District Court or Notary Public Office

To notarize your documents in Taiwan, you will take your identity paper, ARC and original documents to the nearest district court notary office, or visit a private law firm that offers notarization services.

👉Step 2. Authenticate by BOCA/MOFA’s branch offices

This step will be done at any of the 5 following offices:

In this step, you will prepare the following documents:

• original documents certified by a notary public, notarized documents;
• 01 copy of each notarized/verified document;
• Original + photo of your identity paper in case you do the process yourself.
• Original + photo of identity paper of the authorized person + photo of the document owner + Original Letter of Appointment in case of authorized submission.

You then submit your documents to any of the offices mentioned above. Office hours of consular services of those services are: 8:30a.m.-17:00p.m. through the lunch hour from Monday to Friday (except national holidays or typhoon day)

For Taiwan document authentication at the BOCA/MOFA’s branch offices, you have 02 options for processing time, consisting of:

• 02 working days. This service costs you NT$400 for each notarized/verified original document and NT$200 for each extra notarized/verified copy. With this type of processing time, in case you submit your documents and pay for the authentication fee on Friday morning, you will get your authenticated documents on Tuesday morning.
• 01 working day. This service costs you NT$600 for each notarized/verified original document and NT$300 for each extra notarized/verified copy. With this type of processing time, in case you submit your documents and pay for the authentication fee on Friday morning, you will get your authenticated documents on Monday afternoon.
• Failure to adhere to BOCA or MOFA’s branch office guidelines may prolong the Taiwan document authentication process.

👉Step 3: Legalize at Vietnam embassy in Taiwan

This is also called as Vietnam embassy legalization or authentication. However, there is no office of Vietnam embassy in Taiwan, and you will do this step at the Vietnam Economic – Cultural Office in Taipei, Taiwan. Its contacts are:

You will need to prepare and submit the following documents to this office to legalize your Taiwan document for use in Vietnam:

• Application form for Vietnam consular legalization of Taiwan documents – Form No. LS/HPH-2012/TK;
• Original + photo of your identity paper;
• Original + photo of your authenticated Taiwan document which needs to be legalized;
• 01 translations
• Original + photo of translation of your paper requested for Vietnam legalization into English or Vietnamese unless it has English version.
• 01 envelope specifying the recipient’s address (if documents submitted by mail and requests sent by mail).

You then can come back to the Vietnam Economic – Cultural Office in Taipei, Taiwan to get your legalized document after 3 – 5 working days, depending on your appointment note or get it mailed to your physical address in Taiwan.

This process costs you US $10/legalization stamp.

You then can take it to Vietnam and translate it into Vietnamese (unless it has been translated into Vietnamese already) for official use in the country.

3. Can I get my Taiwan documents legalized in Vietnam?

Yes, you can get it done in Vietnam if your Taiwan documents have been authenticated by the BOCA/MOFA’s branch offices of Taiwan. Otherwise, you still need to send them back to Taiwan for authentication before continuing your process in Vietnam, at the Taipei Economic and Cultural Office in Hanoi or Ho Chi Minh City, and then at the Ministry of Foreign Affairs of Vietnam.
